Privacy Notice

ARKAN5 (FZE) — a Free Zone Establishment registered in the United Arab Emirates under licence 11817, owned by ARKAN5 (FZE), a Free Zone Establishment, trading as Archi5 — is the data controller for the personal data described here. We decide what is collected and why, and we are responsible for looking after it. This notice covers ARCHI5, Atlas5 Core, Atlas5 Lens, REWAYA Live, ARKAN5.

What we collect, and why

• Identity and account data — name, institution email address, student or staff ID number, year of study, role (student, teacher, architect, evaluator). Used to create your account and to confirm you belong to a studio. Legal basis: performance of our contract with you.
• Login credentials and session data — hashed passwords, sign-in tokens, invitation codes. Used to keep your account secure. Legal basis: contract and our legitimate interest in security.
• Your studio content — briefs, syllabus documents, drawings, uploads, notes, and the work Archi5 generates for you. Used to produce your analysis and to return your saved work next time you sign in. Legal basis: contract.
• Support messages — what you write to us. Used to answer you. Legal basis: contract and legitimate interests.
• Usage and telemetry — pages opened, actions taken, units spent, error reports, device and browser information, IP address. Used for security and fraud prevention, to keep the service working, and to improve it. Legal basis: legitimate interests.
• Teacher visibility — where your school runs a licensed studio, your teacher can see your presence, your current sheet and your process record for teaching purposes. This is always visible to you in the app. Legal basis: contract with the institution and our legitimate interest in teaching.
• Marketing — if you ask for updates, your email address. Legal basis: consent, which you can withdraw at any time.

Who we share it with

• Service providers and subprocessors — hosting and database providers, AI model providers that generate your analysis, speech and transcription services, error monitoring and support tooling. They act on our instructions.
• Paddle.com, our Merchant of Record, for the sale of our products, subscription management, payments, tax compliance and invoicing.
• Your institution, where you enter through a licensed studio, for teaching and assessment administration.
• Professional advisers — legal and accounting.
• Authorities, where we are required by law.

We do not sell your personal data, and we do not publish or show your uploads to another student.

International transfers

We operate from the United Arab Emirates and use providers located elsewhere, including the European Union, the United Kingdom and the United States. Where data leaves the UK or EEA we rely on adequacy decisions or on Standard Contractual Clauses with appropriate additional safeguards.

How long we keep it

Account and studio content is kept while your account is open, and for up to 12 months after it closes so you can return to your work; after that it is deleted or anonymised. Payment and tax records are kept for as long as the law requires. Telemetry and error logs are kept for up to 12 months. You can delete your stored work yourself at any time from the privacy panel in the app.

Your rights

You may ask us for access to your data, correction, erasure, restriction, portability, or to object to processing based on legitimate interests, and you may withdraw consent for marketing. Write to info@arkan5.ai and we will answer within one month. If you are in the UK or EEA you also have the right to complain to your supervisory authority.

Security

We use appropriate technical and organisational measures: encryption in transit and at rest, row-level access rules so a student’s work is reachable only by that student and their teacher, least-privilege access for our own staff, and audit logging.

Cookies

We use essential cookies only — the signed session cookie that keeps you signed in and the studio pass that opens the working areas. They are required for the service to function. We do not use advertising cookies. If we add analytics or marketing cookies we will ask for your consent first and give you a way to change your mind.
